This notice explains what personal information MaxLeadPRO handles, why, and the choices people have.
1. Two roles: our customers’ data and our own

2. What we collect
- Account data: names, emails, roles, hashed passwords, two-step verification settings, sign-in times.
- Business content: brand profiles, facts, offers, campaign briefs, drafts, uploaded images and documents.
- Lead data (on behalf of customers): what people enter in forms; the exact consent wording they agreed to, its version and time; tracked-link and page-view counts; and, for the phone assistant, caller number, menu choices, message transcripts and — only where the customer enabled it and the announcement played — recordings.
- Technical data: security logs and pseudonymised visitor counts. Visitor counting uses a one-way daily hash, not stored IP addresses.
3. How we use it
To provide and secure the Service, prevent abuse, measure usage and credits, provide support, and meet legal obligations. We do not sell personal information and we do not use our customers’ lead data to market to those leads ourselves.
4. AI processing
When AI drafting is enabled, brief text, verified business facts and brand rules may be sent to an AI model provider to produce drafts. Lead and contact records are not used to generate marketing drafts. See the AI Content Guidelines.
5. Subprocessors
We use vetted providers to run the Service. [Subprocessor list — to be completed before launch, e.g. cloud hosting and storage; database; AI model provider (only when enabled); telephony (the customer’s own Twilio account, for inbound calls); error monitoring.] We will give notice before adding a subprocessor that processes customer lead data.
6. Retention
- Account data: for the life of the account plus [N] days after closure, then deleted or de-identified.
- Lead data: kept until the customer deletes it or closes the account, then deleted within [N] days.
- Consent and opt-out (suppression) records may be kept longer, in minimised or hashed form, so that opt-outs keep being honoured.
- Security and audit logs: [N] months.
7. Your choices and rights; deletion requests
Depending on where you live you may have the right to access, correct, delete or get a copy of your personal information, and to opt out of certain uses. Customers can delete a person’s data from the Leads screen (“Delete personal data”); this erases personal details while keeping a hashed opt-out so the person is not contacted again. If you are a lead of one of our customers, contact that business first; you can also email support@maxleadpro.com and we will route your request. We will not discriminate against you for exercising your rights.
8. Security
We use encryption in transit, role-based access, two-step verification for privileged users, workspace isolation, audit logs and time-limited, customer-approved support access. No system is perfectly secure.
9. Children
The Service is for businesses and is not directed to children under 13 (or the age required by local law).
